PRACTICAL GUIDE

Give the next person a useful repair brief

A maintenance date alone does not tell a technician what is wrong. Keep observations and repair instructions against the affected item.

01Observe
02Report
03Assign work
04Record outcome

Describe the symptom

Record what happened, the affected part and when the problem appeared. Distinguish an observation from a diagnosis: “loses pressure after ten minutes” is more useful than an unsupported guess about the pump.

Set priority and availability

Use the fault record to describe severity and required work. Quarantine unsafe equipment so it is not treated as available. A colour indicator reflects entered records; it is not a substitute for competent inspection.

Write instructions for the repair

Add the repair brief, priority and assigned contact. Include practical details such as intermittent behaviour or checks already performed. Staff can use the profile to brief the contractor; there is no separate contractor-login portal.

Record what was actually done

Update the repair outcome and keep the history. Resolve the fault only after the appropriate checks. Confirm the item’s condition and required documents before returning it to service.
