FAULTS & REPAIRS

“Needs fixing” isn’t a repair brief.

Describe the problem once, attach the evidence and keep the repair history with the equipment. The next person should know why it is off hire.

01Report the problem
02Record work required
03Keep unsafe items on hold
04Record the outcome

Separate the fault from the work

A fault description captures what someone observed. Repair instructions explain what should be investigated or done. Keep both, with priority, status, an assigned contact and supporting evidence where available.

Make handovers to maintenance useful

Before a service visit, review the item’s open faults and previous records. The assigned contact is recorded internally; there is no external contractor login or automatic dispatch integration. Your team can share the relevant information through its normal process.

Keep the history after the repair

Record repair notes and the outcome instead of replacing the original report. Confirm the equipment’s condition and required checks before returning it to use. Closing a job should not be treated as independent proof that an item is safe.

Know the boundaries

Keepalto supports equipment records and repair coordination. It is not a full workshop accounting system: parts purchasing, labour billing, manufacturer diagnostics and automated service-provider scheduling are not included.
