AVAILABILITY & HANDOVERS

From available to out. And safely back.

A booking is more than two dates. It connects an item to a customer, a destination, an operator where required, and the checks that must be in date.

01Check the dates
02Reserve the item
03Inspect and check out
04Return and record condition

Check before promising

Open an equipment profile and review its status, existing bookings and due checks. Conflicting reservations are rejected. Required checks and an assigned operator’s relevant competency must cover the hire period—not just the day it leaves.

Keep the handover together

Record the customer, destination and collection or delivery details with the booking. Reusable kit profiles reserve every required component with the parent booking. Before checkout, a team member confirms the booked quantity and required components are prepared and adds a packing note; Keepalto retains each preparation snapshot. The Bookings view can consolidate a selected collection date into a printable sheet grouped by customer, destination and handover method, including each kit manifest. It can also commit 2–30 prepared reusable non-kit checkouts together, or 2–30 clean, complete reusable returns together; one changed record stops the whole batch. Damage, missing units, kits, consumables, evidence and item-specific notes stay in the individual workflow. Optional daily rates are a reference for your team. Keepalto does not take customer payments or calculate a customer invoice.

Handle changes without losing the record

Amend booking dates or extend an on-hire period with conflict and readiness checks. Cancel a reservation that is no longer needed. Checkout and return are separate actions, so a reservation is not confused with an item that has actually left.

Use the return as a checkpoint

Record the condition when equipment returns. Damage can create a fault record and put the item on hold, giving the team a clear reason to investigate before its next use. The calendar and in-app feed support upcoming work. Optional bounded owner email reminders require separate opt-in and configured delivery; no background schedule or push service is deployed.
