Check the whole booking period
Open the equipment profile and review availability, condition, required checks and upcoming dates. A booking that starts before a certificate expires can still be unsuitable if that certificate expires during the booking.
Record the customer and destination
Choose the customer and dates, record where the equipment is going and assign an operator where required. Customer records are internal: the platform does not send the customer to a shop or take hire payments.
Reservation is not checkout
A reservation holds the planned period. Use the collection-date packing sheet to group reserved items by customer, destination and handover method. Confirm each booked quantity is prepared and packed with a short staging note before checkout; changing the dates invalidates that preparation snapshot. Complete checkout when the equipment actually leaves and confirm every dispatch-checklist item. The Bookings view can commit 2–30 prepared reusable non-kit checkouts together, or 2–30 reusable hires together when every unit returned clean and complete. One changed record stops the whole batch. Use the individual workflow for kits, consumables, damage, missing units, evidence or item-specific notes. An owner can tailor the dispatch and return templates in Settings; each completed inspection keeps the exact checklist, team member and time, with optional private evidence attached to the item. Amend dates when plans change; conflict and readiness checks also apply to amendments.
Close the loop on return
Inspect the equipment before completing the return. Record condition and damage accurately rather than making an unsafe item available for the next customer. Report faults and keep affected equipment unavailable until the work is complete.
